The employee breakdowns allows users to run quick analysis actions over their data to get an indication on their staff ratios for gender, age, and employment types.

Employee Breakdowns

The Employee breakdowns screen is accessible from the using the HR Menu at the top of the listing, select Employee Breakdowns.

This screen is split into two distinct sections with graphs detailing the distribution of your business 

  1. High-level overview
  2. Detailed Spread of Employment


High-Level Overview
This section is designed to display a quick snippet of the overview on how your staff is distributed across your business using the following archetypes, Gender, Employment Type & Age.

Detailed Spread of Employment

The detailed spread of employment entails, breaking down of the high level overview to provide additional split categories to display salary, employment types filtered by their respective listed archetypes listed in the High-Level Overview.


This shows a stacked column graph view for the staff distribution for the following categories

  1. Employment Type by Gender
  2. Employee Age by Gender
  3. Employee Salary by Gender
  4. Employee Salary by Employment Type
  5. Employee Salary by Age

What is WGEA Export (Unit Level)

The Workplace Gender Equality Agency (WGEA) Unit Level Export, provides a snapshot of your workforce distribution on any one date during the 12-month reporting period, populated with employees employed as at that specific date, note that within the system we also are able to generate the export based on date range, in case you may have a deferral from WGEA.


If your Business does employ 100 or more employees, you may be required to lodge reports to WGEA (Workplace Gender Equality Agency) on an annual basis;

Our information on this indicates that the lodgement periods are as follows
- Public Sector (Lodgement Period 01/09 to 31/10)
- Private Sector (Lodgement Period 01/04 to 31/05)

The information that will be exported, are the following, please note that we have provided a quick breakdown to what each of the columns definitions, however for more detail regarding each of the values, please click here

  1. EmployeeID: Unique identifier which is automatically created by the system upon creation of the employee's card file.

  2. Employing ABN: ABN of the Business that the employee is employed.

  3. Occupational Category: A Occupational category is to define the type of occupation the staff member is currently employed as using the ANZSCO (Australian and New Zealand Standard Classification of Occupations) standard.

  4. Manager Category: Category to define if the employee holds a position with managerial duties.

  5. Gender: Category to define the Gender of the employee.

  6. Graduate/Apprentice: Category to define if the employee is employed as a Graduate/Apprentice.

  7. Employment Status: Category to define the type of employment holds within the Business;
    • FT - full-time employees
    • PT - part-time employees
    • CE - Casual employees      

  8. Employment Type: Category to define if the employee holds one of the following types;
    • Permanent - (permanent/ongoing)
    • Contract - (fixed-term/non-ongoing contract)
    • Casual

  9. Year of Birth: Date of birth for the employee.

  10. Postcode: The current post code of where the employee spends most of their time at work.

  11. Base Salary: Base salary refers to the employee’s salary before tax, including salary sacrificed items. It excludes superannuation & other payments or benefits.

  12. Total Remuneration: Total remuneration refers to the base salary plus all bonuses, allowances, superannuation and other payments.

Exporting WGEA Report (Unit Level)

If your business is required to generate the WGEA (Unit Level) Report, then this can be done by using the following steps

  1. Open the employee breakdowns screen by using the HR menu, and select Employee Breakdowns.
  2. Select the Actions button and click Export WGEA Workplace Profile



  3. Set the date range that you need to report for
  4. Upon clicking export, the system will generate a CSV file which will be typically found in your downloads folder. The file should then be ready to be imported into WGEA import centre.


Please note that opening and editing exported files in anything other than their intended upload location (or simple text editors) may cause unintentional data adjustments within the file. An example of this is Excel's auto date time adjustment feature.
