Recall To Work (RTW) allows for custom scenarios where you need to selectively pay an employee at their overtime rate due to them recommencing work shortly after their shift finish.
This feature uses a combination of defined rule set settings and time sheet special rates to apply the overtime.
To enable and use this functionality, please use the following
Setting the Overtime Condition
To enable the recall to work feature, options within the employee's Rule Set are required.
- This is available in the Award Manager > Rule Set > Overtime Configuration 01 section.
- As with any overtime condition, a rate sheet needs to be defined to indicate the pay rate for payroll. This may already be in place from your previous overtime configuration settings
Adding A Pre-Defined Special Rate
The first step is to ensure the employee is linked to a Rate Set, which can be done from the Pay tab on their Employee profile.
Once the employee is linked, then the Rate Set needs to be opened and a new configuration added.
- Use the Setup menu, and select Award Manager
- Select the appropriate Rate Set from the list, Click Options, and then select Rate Sets.
- Within the Rate Set, select the item that the employee is linked to.
- Select the Special Rates tab and click Add.
- Enter a new Special Rate using the following, the payment will be adjusted by the overtime condition at payroll.
- Name = 'Recall to Work'
- Type = Percent
- Rate = 100%.
Applying To Payroll
Now that the pre-work has been completed, you are ready to apply this to time sheets for payroll.
- Open the Time sheets screen and select the entry for which you need to apply the overtime, this could be an additional time sheet entry for the day.
- From the Time Sheet details screen, select the Rates tab, and then select Add using shift times.
The special rate times can be adjusted to custom timings once added, this just provides a preset. - Next, select the Special Rate dropdown and change it from Manual to Recall to Work.
- With this applied, you will see the Recall to Work special rate time at payroll at your pre-set overtime rate.
